ReportsHas a professional appearance which is used to convey information pertaining to a certain topic; length varies depending on the nature of the information it contains.
LettersCarry information to people outside the company; written in a professional tone
NewlettersSent to customers or stockholders to provide information and make special offers; informally written, can be laid out in columns
ResumesUsed by individuals to sell their skills and abilities to prospective employers
Block style letterAll parts are typed at the left margin; left and right margins are 1"
LetterheadPaper with the Company’s name (the sender) and address already printed on it. May also include a slogan, and a picture or graphic
DateCompletely spelled out
Inside AddressThe address of the person the letter is being sent to.
SalutationThe line of a letter containing the greeting and the recipient’s name; Dear Mr. Brown, To Whom It May Concern, etc.
BodyAt least two paragraphs typed to the recipient containing the message you wish to express
Complimentary closingThe line of a letter containing the closing; Sincerely yours, Respectfully yours, etc.
Writer's identificationThe writer’s name and job title.
Typist reference initialsThe initials of the person who typed the letter; typed in lowercase letters
Enclosure notationUsed if the writer is enclosing another document with the letter; this part is only used if needed.
Copy notationUsed if the writer is sending the letter to someone other than who it is addressed to.
HeadingIncludes the letterhead and the date
OpeningIncludes the inside address and the salutation
