This exercise is to test your knowledge of the most common terms used in meetings.

| A vote allowed a chairperson when there is a tie,

Closure,
| A proposal by a member to end discussion on a particular matter,
|
Call to order,
| A statement used by a chairperson to officially start a meeting,
|
Constitution,
| A document outlining the rules and regulations for the conduct of the business of an organization,
|
Dropped Motion,
| A motion that has not been supported (seconded) by another member or which the proposer has chosen to withdraw,
|
En bloc,
| Everyone taken together as a group,
|
In camera,
| A meeting held in private without access by the public,
|
Intra vires,
| A decision made within the powers or laws of the organization,
|
Joint committee,
| The merger of two or more committees,
|
Chairperson/Chair,
| A person appointed or elected as the highest position in the organization or committee and who conducts meetings,
|
Majority,
| The greater number of votes cast for or against a matter,
|
Memorandum of Association,
| A document stating the name , address, objectives and membership of a registered company,
|
Articles of Association,
| A document outlining the internal regulations governing a registered company,
|
Minutes,
| A record of a meeting including its discussions, decisions and resolutions,
|
Next Business,
| This refers to movement from one item on the agenda to another as announced by the chairperson,
|
Point of Order,
| A question bought by a member on whether or not the current meeting or part thereof is allowed by the rules. (Found in Parliament),

Poll,
| Voting by ballot paper,
|
Postponement,
| Agreement to put off a meeting to a later date,
|
Proxy,
| A person who is authorized by another to vote on their behalf,
|
Quorum,
| The minimum number of members who need to be present to have a valid meeting,
|
Resolution,
| A motion which is passed by a meeting by a majority vote,
|
Rider,
| An addition to a resolution which must be proposed, seconded and voted on separately,
|
Standing committee,
| A committee that is permanently appointed to carry on routine activities,
|
Status quo,
| Everything remains the same in its existing state,
|
Sub-committee,
| A smaller committee made up of members of the main committee to deal with and report back on a particular matter,
|
Terms of reference,
| A statement setting out the work to be undertaken by a member or committee,
|
Ultra vires,
| A decision made outside of the powers or laws of the organization,
|
Unaminous,
| Approved by all present at a meeting,
|
Verbatim,
| A word-for-word account of a contribution of a speaker,
|
Vote of no confidence,
| A vote taken against the chairperson by a majority of members during a meeting,
|
Ex-officio,
| A person who holds special office but is not an official member of a committee and as such is not normally allowed to vote,

Ratify,
| To approve of a motion made at a meeting,
|
Aye,
| A verbal approval for a motion (Will ratify a motion),
|
Nay,
| A verbal disapproval for a motion,
|
Motion,
| A formal consideration of a matter for which a decision is required brought by one person (proposer),
|
Proposer,
| A person who suggests or introduces a motion,
|
Member,
| A part of a group/organization and who can be appointed to a committee,
|
Committee,
| A group officially delegated by members of an organization to act on their behalf,
|
Treasurer,
| The person responsible managing the funds of a committee,
|
Seconder,
| A person who supports a motion after being proposed and before it is discussed,
|
Convener,
| The person who invites members to a meeting usually the chairperson,
|
Secretary,
| The person responsible for making arrangements for the meeting, assisting the chair during and preparing minutes after.,
